Privacy Notice

Who we are
This website, louthplumbers.ie, is operated by Systems R Sdn Bhd, trading as Systems Ninjas. For the purposes of the General Data Protection Regulation (GDPR) we are the data controller for the personal information described in this notice – that means we decide what is collected here and why.
If you want to ask about anything in this notice, or exercise any of the rights set out below, email [email protected]. You can also just ask in the chat window on this site.
What we collect, and when
When you use the chat
The chat window is the main way to reach us, and it is where most of the personal information on this site is collected. Depending on what you tell it, that includes:
- Your name
- Your phone number and, if you give one, your email address
- The town or area you are in
- What the plumbing problem is, and how urgent it is
- The full text of the conversation, which is kept as a record of your enquiry
You choose what to type. If you would rather not give a phone number, say so in the chat and we will work with what you are comfortable sharing – though there is a limit to how much use an enquiry is if we have no way to reply to it.
When you simply visit
Loading a page on this site causes some information to be stored in your browser and sent to the platform that hosts it. See Cookies and similar storage below for exactly what, and how to refuse it.
You are talking to an AI assistant first
The chat on this site is answered by an AI assistant, not by a person, and it is instructed to say so in its first message. That is how it can answer at three in the morning. A person can take over the conversation at any point, and you can ask to speak to a person at any time.
The assistant does not make any decision that has a legal or similarly significant effect on you. It takes down what you tell it so that a plumber can get back to you.
Why we hold it, and our lawful basis
| What for | Lawful basis |
|---|---|
| Answering your enquiry and arranging for a plumber to contact you about the job | Steps taken at your request before entering a contract (Art. 6(1)(b)), and our legitimate interest in responding to people who contact us (Art. 6(1)(f)) |
| Keeping a record of the enquiry and what was agreed | Legitimate interests – being able to show what was asked for and what was quoted (Art. 6(1)(f)) |
| Non-essential storage used by the website platform, including how you arrived at the site | Your consent (Art. 6(1)(a)), which you give or refuse through the cookie banner and can change at any time |
| Meeting a legal obligation, if one applies to a particular record | Legal obligation (Art. 6(1)(c)) |
We do not use anything you tell us here to send you marketing unless you separately ask us to.
Who else sees it
- HighLevel Inc. (also called LeadConnector) – the platform that runs this website, the chat widget and the customer record behind it. It processes the data on our instructions.
- OpenAI – the chat assistant's replies are generated through a language model accessed by the platform above. Your message text is sent for that purpose.
- Cloudflare – sits in front of the site to keep it up and to filter automated abuse.
- The plumbing contractor who takes on your job – your name, contact details and a description of the job are passed on so that the work can actually be done.
We do not sell your personal information, and we do not share it with anyone else for their own marketing.
Where it goes
The providers above are based in, or store data in, the United States. Transfers out of the European Economic Area are made under the European Commission's Standard Contractual Clauses and, where it applies, the EU–US Data Privacy Framework. If you want to know more about the safeguards for a particular transfer, email us and ask.
How long we keep it
- Enquiries that do not turn into a job: up to 24 months from your last contact with us, then deleted.
- Enquiries that do turn into a job: kept for as long as needed for the work and any guarantee on it, and then for as long as the law requires records of that kind to be kept.
- Website storage: see the table under Cookies below. Your cookie choice itself is remembered for six months, after which you will be asked again.
You can ask us to delete your details sooner. See the next section.
Your rights
Under the GDPR you have the right to:
- Ask for a copy of the personal data we hold about you
- Have anything inaccurate corrected
- Ask us to erase it
- Ask us to restrict how we use it, or object to us using it under legitimate interests
- Ask for it in a portable, machine-readable form
- Withdraw consent at any time, where we relied on consent – which does not affect anything done before you withdrew it
Email [email protected] and we will deal with it within one month. There is no charge.
If you are not happy with how we have handled your information you can complain to the Irish Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28 – dataprotection.ie.
Cookies and similar storage
A cookie is a small file a website asks your browser to keep. This site also uses your browser's local storage, which does the same job. We treat both the same way.
Nothing that is not strictly necessary is stored until you accept it. When you first arrive you get a banner with Accept all and Reject all as equal choices, and a preferences panel if you want to pick and choose. You can change your mind at any time using the Cookie settings link at the bottom of every page.
| Name | Set by | What it does | Category | Lifetime |
|---|---|---|---|---|
__cf_bm | Cloudflare | Tells automated traffic from real visitors. Security. | Strictly necessary | 30 minutes |
cc_cookie | This site | Remembers the cookie choice you made, so we stop asking. | Strictly necessary | 6 months |
msgsndr_id | HighLevel | Identifies your browser to the website platform across visits. | Analytics | 12 months |
v2_history, v3_first_session_event, v2_session_history, v2_contact_session | HighLevel | Local storage recording how you reached the site – referrer, search keyword, campaign and the pages you viewed. | Analytics | Until cleared |
| Live chat storage | HighLevel | Keeps your chat open as you move between pages so you do not lose the conversation. | Strictly necessary | Session |
If you reject the analytics category, the analytics items above are cleared from your browser and cleared again on every page you open, so they cannot build up a history of your visit.
You can also block or delete cookies in your own browser settings. Doing that will not stop you using this site, though the chat may forget where you had got to.
Children
This site is meant for adults arranging plumbing work. We do not knowingly collect information from children.

If we change how we handle personal information we will update this page and change the date at the top. This notice was last updated on 16 August 2026.
